Functionality

1 Student Records Management
The system relies on a unique student number commonly known as Admission number and this can be allocated to the students at the time of joining the school. Magezi Harvest has the ability to integrate the existing Admission number system to its functionality or to generate admission numbers for students in case an admission number system is not in existence in the school.
In cases, where student information is already held in spreadsheets such as Microsoft Excel, Magezi Harvest can be configured to import the information from the spreadsheet to its Database.
Where necessary and endorsed by the school, Magezi Harvest Software can be tasked with the entire Admissions Process of the School in order to increase data integrity and proficiency in information systems of the school.

2 Continuous Assessment
It is common practice today that schools track the performance of students throughout the term by conducting periodical examinations such as Beginning of Term (BOT), Mid-Term (MT), and End of Term (EOT). Magezi Harvest Software provides the relevant authorities and/or teachers to choose which of these were conducted and records of these continuous assessment examinations are entered into the system as soon as the marking is complete. Every subject teacher enters his/her subject marks at their convenience, but within the deadline set by the Academic department head of the school/director of studies.

3 Internal Examinations
Internal Examinations constitute all examinations such as BOT, MT, and EOT. These examinations take proportions of the 100% marks, the maximum the student can score in any particular subject. The system allows the DOS to set the proportions that will be contributed by each of these. The system then automatically converts the percentage scores of the student in these examinations into the respective shares according to the set proportions.
Magezi Harvest software handles results for any number of papers that were/are attempted in a particular subject. Thanks to the high levels of automation in the system.

4 External Examinations
Magezi Harvest Software is also enriched with a module that handles the results of External examinations such as those set by the Uganda National Examinations Board. This modules helps the school authorities to prepare and print school leaving Testimonials. In the Ugandan setting, this is applicable to S.4’s and S.6’s.

5 Student Terminal Progress Reports
“The end justifies the means” Magezi Harvest’s final product is the Student’s Terminal Progress Report. This is what the student takes from the school to the parent/guardian. For a secondary School, three types of progress Reports exist, namely; Lower Secondary (S.1 & S.2), Middle Secondary (S.3 & S.4) and A’ level (S.5 & S.6). These report categories take into consideration all the practical aspects applicable to these classes in the Ugandan educational structure.
The grading in terms of Totals, aggregate in best 8 subjects, Principal and subsidiary subject scores are all automatically generated by the system based on the grades, continuous assessment proportions and attempted papers set by the DOS and/or Class teachers/subject Teachers.

6 Performance Analysis Module.
At the end of the term, Magezi Harvest Software presents the school with a summary of the Students’ performance in the following forms;
Mark sheets
Statistics Sheets per Subject for the Heads of Department
Statistics Sheets per level (O and A)
General Statistics Sheets.
7 User Management Module
All users of the system are managed by the Magezi Harvest Administrator chosen by the school management. The users are restricted to their roles that are explicitly spelt by the school management. The roles include; subject teachers, class teachers, Director of studies, Exam Head and Head Teacher.
Magezi Harvest is highly secured and built to standards that make it an idiot-proof web application. Every user is authenticated on to the system by a unique username and password, known only to him.
